You will likely be working with this vendor for a long time, so make sure that you can communicate effectively with them. Make sure you trust that they will be there for you. Here are a few tips that will help.
What follows should be a part of your Vendor selection process.
Start with a Solution Vision
At this point in your project, I am confident that you will have some sort of vision of your solution. Start with that vision. Go over your solution vision with your stakeholders. Modify that vision as necessary.
Write up your Requirements Document
Starting with your revised solution vision, write up a requirements document. Make sure the requirements include all of the things you want the software to do.
Create a short list of BPM Vendors
Start with that vision and your requirements document. Share that information with potential vendors to see if any of them can deliver it. Compromise only if it appears that no one can deliver all of it.
As I said, you will be working with this vendor for a long time. Make sure that you can believe all that you have been told. Speak with their customers and get their opinion.
While you are going through your due diligence, you can be planning your project. Keep in mind that the more time your BPM project takes, the more people will become disinterested. Keep it short [reasonable].
